    Vendor Information & Requirements
    We are excited to welcome vendors to our Pumpkin Patch & Fall Festival at The Market @ Town’s End! Our goal is to create a fun, family-friendly fall destination where our community can shop local, support small businesses, and enjoy the season together.

    ✨ Vendor Category Exclusivity
    To provide a great experience for our vendors, we will limit participation to one vendor per specific product or service category. Vendor spaces are available on a first-come, first-served basis, and once a category is filled, we will no longer accept vendors offering the same primary product or service.

    For example: one permanent jewelry vendor, one candle vendor, one insurance provider, one realtor, etc.

    For a flyer or registration form, you could shorten it to:

    VENDOR FEES
    Vendor fees are based on the type of vendor, space requested, and event date. All vendor fees must be paid in advance to secure your space.

    VENDOR REQUIREMENTS
    Vendors are responsible for providing all equipment needed for their booth, including:

    Tables
    Chairs
    Displays
    Any other supplies needed to operate their booth
    WATER & ELECTRICITY
    There is no running water available for vendor use.

    Vendors must bring any water needed for their booth or operation.

    Electricity is not guaranteed. Vendors requiring electricity must receive prior approval from event management.

    SET-UP
    Vendor Set-Up Begins: 1:00 PM

    Vendors may begin arriving and setting up at 1:00 PM.

    All vendor booths must be completely set up and ready for customers by 4:00 PM.

    Please allow yourself plenty of time for unloading, parking, setup, displays, and decorating.

    Vehicles must be moved from the vendor area once unloading is complete unless otherwise approved by event management.

    BREAKDOWN
    Vendors may not begin breaking down their booths before the designated closing time unless permission has been given by event management.

    Each vendor is responsible for:

    Removing all merchandise and equipment
    Removing trash and boxes
    Cleaning their assigned space
    Leaving the area in the same condition in which it was received
    FAMILY-FRIENDLY EVENT
    The Pumpkin Patch & Fall Festival is designed to be a welcoming, family-friendly community event.

    Rock'n Our Disabilities Foundation and Town’s End Marketplace reserve the right to prohibit or remove merchandise, displays, signage, music, activities, or booth content that is considered inappropriate, unsafe, offensive, or inconsistent with the mission and family-friendly atmosphere of the event.

    FOOD VENDORS
    Food vendors and food trucks are responsible for obtaining and maintaining all required permits, licenses, insurance, health department approvals, fire requirements, and other documentation applicable to their operation.

    VENDOR REGISTRATION
    Vendor registration must be completed, and payment received no later than one week before the requested event date, unless otherwise approved.

    Submitting a registration form does not guarantee a vendor space. Vendor spaces are confirmed once registration and payment have been approved.

    IMPORTANT
    Vendor fees are nonrefundable unless the event is canceled by the event organizer.

    Vendor spaces may not be transferred, shared, or resold without prior approval.

    We encourage vendors to decorate their booths for fall and help us create a beautiful Pumpkin Patch & Fall Festival atmosphere! 🎃🍂

  • VENDOR AGREEMENT AND RELEASE OF LIABILITY
    Pumpkin Patch & Fall Festival at The Market @ Town’s End
    Presented by Rock'n Our Disabilities Foundation
    I, the undersigned Vendor, representative, agent, or authorized business owner, acknowledge and understand the following:

    ASSUMPTION OF RISK
    I understand that Rock'n Our Disabilities Foundation does not provide vendors with medical insurance, liability insurance, property insurance, or medical treatment for injuries, losses, or damages arising from participation in the Pumpkin Patch & Fall Festival at The Market @ Town’s End.

    I voluntarily assume full responsibility for all risks associated with my participation as a vendor in the event and all related activities, including arrival, setup, operation, sales, interaction with guests, breakdown, and departure.

    RELEASE AND WAIVER OF LIABILITY
    To the fullest extent permitted by law, I hereby agree to release, waive, discharge, and hold harmless:

    Rock'n Our Disabilities Foundation; Chet Hitt; The Market @ Town’s End; Rock'n Our Disabilities Foundation's current and former board members, officers, directors, employees, agents, representatives, volunteers, event organizers, sponsors, affiliates, and authorized representatives

    from claims, demands, actions, damages, losses, liabilities, or causes of action arising out of or related to my participation as a vendor in the event.

    This includes, but is not limited to, claims involving personal injury, illness, death, property damage, loss or theft of merchandise, equipment damage, business interruption, or financial loss, including claims arising from the ordinary negligence of a released party to the extent such a release is permitted by applicable law.

    VENDOR RESPONSIBILITY
    I understand and agree that I am solely responsible for my:

    Booth and displays
    Merchandise and inventory
    Tables, chairs, and equipment
    Employees, volunteers, contractors, or representatives
    Products and services
    Cash, payment equipment, and personal property
    I agree to operate my vendor space in a safe, professional, and lawful manner and comply with all applicable laws, regulations, permits, health requirements, fire requirements, and event policies.

    I am responsible for maintaining appropriate supervision of my employees, volunteers, contractors, and representatives at all times.

    EVENT RULES & SAFETY
    I agree to comply with all rules, guidelines, setup and breakdown times, safety requirements, and operational procedures established by Rock'n Our Disabilities Foundation and The Market @ Town’s End.

    I understand that event management reserves the right to require correction of an unsafe condition or activity and may require a vendor to discontinue an activity or leave the event if necessary for safety or failure to comply with event requirements.

    INDEMNIFICATION
    To the fullest extent permitted by law, I agree to indemnify, defend, and hold harmless Rock'n Our Disabilities Foundation, Chet Hitt, The Market @ Town’s End, and Rock'n Our Disabilities Foundation's board members, officers, directors, employees, agents, representatives, volunteers, sponsors, and affiliates from claims, damages, losses, liabilities, costs, and expenses, including reasonable attorney fees, arising out of or related to my actions or omissions, products, services, equipment, personnel, or vendor operations, subject to applicable law.

    INSURANCE ACKNOWLEDGMENT
    I understand that Rock'n Our Disabilities Foundation, Chet Hitt, and The Market @ Town’s End do not provide insurance coverage for vendors.

    I understand that I am responsible for maintaining any insurance required for my business or participation in the event, including general liability insurance when required by event management or applicable law.

    I accept responsibility for the risk of loss, theft, or damage to my merchandise, equipment, displays, inventory, and personal property.

    PERMITS & LICENSES
    I understand that I am responsible for obtaining and maintaining any permits, licenses, certifications, health department approvals, seller's permits, fire approvals, insurance, or other documentation required for my particular business, products, or services.

    Food vendors and food trucks are responsible for complying with all applicable health, food-service, and fire-safety requirements.

    PHOTO, VIDEO & MEDIA RELEASE
    I grant Rock'n Our Disabilities Foundation and The Market @ Town’s End permission to photograph, record, or otherwise capture my booth, business name, logo, products, displays, representatives, and participation in the event.

    I authorize Rock'n Our Disabilities Foundation and The Market @ Town’s End to use such photographs, video, audio, and recordings for lawful organizational purposes, including websites, social media, printed materials, marketing, advertising, fundraising, and event promotion, without payment or other compensation.

    I waive the right to inspect or approve the finished promotional materials and waive claims for royalties or compensation arising from authorized use of such media.

    COMPLIANCE & CONDUCT
    I agree to conduct my business professionally and in a manner consistent with the family-friendly environment and mission of Rock'n Our Disabilities Foundation.

    Rock'n Our Disabilities Foundation reserves the right to prohibit or remove merchandise, signage, displays, activities, or conduct determined to be unsafe, unlawful, inappropriate, or inconsistent with the family-friendly nature of the event.

    I understand that failure to comply with event rules, safety requirements, or professional conduct standards may result in removal from the event without refund.

    ELECTRONIC AGREEMENT & ACKNOWLEDGMENT
    By signing below or submitting this agreement electronically, I acknowledge that I have carefully read and understand this Vendor Agreement and Release of Liability and voluntarily agree to its terms.

    I understand that my electronic signature, electronic submission, or written signature constitutes my agreement to these terms to the extent permitted by applicable law.
